The challenge
Covering all organisational and technical requirements – reliability in use

PIS AG/Geizhals was already using a time tracking solution before introducing TimeTac. Over time, however, this solution no longer offered the required functions. Ultimately, the decisive factor for switching to a new time tracking system was the new requirements for home office reporting.

Michael Kröll: “We were using a pure time tracking solution, but wanted to switch to a new solution with integrated leave and absence management. Our in-house solution, an access system with automatic time tracking, would have had to be significantly expanded and maintained. Since that is not our core business, we looked for alternatives on the market. Ultimately, the range of features, configuration options and the API interface, combined with fair pricing, contributed to the decision in favour of TimeTac.”

“We expected a time tracking solution to cover all our organisational and technical requirements and to be reliable in use.”

The solution
Less effort and more transparency for everyone

Simplifying time tracking and absence management

Employees can record their time via the web or mobile app. However, they primarily use the web app, while management tends to use mobile time tracking. What employees at PIS AG/Geizhals find particularly practical is being able to view their time balance and any time corrections, which can be made via the web interface.

Michael Kröll: “TimeTac offers a wide range of features, yet the web interface is very clear and employees find their way around easily.”

PIS AG used the onboarding service during implementation. A TimeTac employee actively accompanies and supports the customer with the TimeTac setup – from configuration through to going live in real operation.

Michael Kröll adds: “The onboarding service clearly simplified and accelerated the implementation for us.”

Meeting the requirements for home office reporting

As described at the beginning, switching to a new time tracking system became important for our customer, among other reasons, due to the increase in working from home. After all, compliance with working time regulations and the same time tracking obligations apply in the home office as in the office.

In TimeTac, you can record home office work via tasks or absences and analyse it with just a few clicks. In addition, with live time tracking you can see at a glance who is currently working from home and which activities/projects employees are booking their time to.

Less effort and more transparency for leave, absences and overtime

To reduce the workload for HR and employees, the processes around absence and leave management were to be automated and simplified.

In TimeTac, employees can submit or approve requests for leave, sick leave or other absences online in just a few steps. The approval process runs automatically. With just a few clicks, absence times can be analysed or exported both at employee and department level. Remaining leave days and overtime balances are calculated automatically by the software and can be accessed by employees themselves at any time.

“We have significantly less effort in handling leave and absence management, especially in HR, but also for employees. The transparent overview of current (overtime) hour balances is a clear improvement both for management and at employee level,” says Michael Kröll.

Easier reporting for controlling and payroll accounting thanks to the API interface

Our customer needed data from TimeTac for individual reports in controlling and payroll accounting. For this, PIS AG/Geizhals used the TimeTac API.

TimeTac provides a programmable interface (API) based on modern RESTful technology for connecting individual programs. This allows you to integrate TimeTac into other applications or create your own analyses of your data.

Michael Kröll: “With the technical documentation for the API integration on the TimeTac website, we were able to connect TimeTac to our systems entirely independently. Only a few minor adjustments were necessary, and these were implemented promptly so that we could analyse the data for our individual application.”

The result
Employees find their way around easily – significantly less effort for everyone – easier reporting

Michael Kröll:

“Not least thanks to the integration of the TimeTac API, we were able to successfully achieve all of our planned goals. Employees find their way around the interface easily, and the API integrations also make reporting for controlling and payroll accounting easier, among other things.”
